Georgian College’s Advancement and Alumni Relations department maintains strong relationships with a variety of constituents to inspire support and engagement. The department is organized into four integrated units: Engagement; Philanthropy; Partnerships; and Donor Relations and Operations. Reporting to the Associate Director, Engagement, the Alumni Engagement Associate will serve as a key support in the coordination, implementation, monitoring/tracking, and reporting/evaluation of Georgian’s alumni engagement programs and services. Specific duties include, but are not limited to:
Alumni Engagement Events and Initiatives
Coordinate and implement multi-faceted alumni engagement strategies for events, communications, recognition, volunteer programs, and philanthropy initiatives, specifically:
• Develop, coordinate, attend, and ensure the successful delivery of alumni events and logistics
• Secure and coordinate alumni volunteers and ambassadors for various opportunities
• Support, engage, and collaborate with a variety of College departments and academic areas to foster alumni engagement activities
• Coordinate alumni-to-student mentorship program
• Support Alumni Association Executive Council (AAEC) meetings, subcommittees, activities and recruitment
• Seek, bring forward, and coordinate opportunities to highlight the good works and success stories of our alumni across the College and the broader community
• Support alumni fundraising appeal efforts
Database Management and Reporting
Ensure the integrity and accuracy of alumni information by maintaining and updating our database, specifically:
• Maintain and update alumni records in Raiser’s Edge database
• Perform data entry, coding, and segmentation
• Generate reports and extract data
• Ensure accurate tracking of alumni interactions, participation and engagement
• Seek out data proactively to keep alumni information updated
Communication and Marketing
Drive awareness, engagement, and participation in alumni activities through professional, engaging, on-brand communications and marketing outreach.
• Create alumni-related communications and marketing materials and messaging
• Support alumni-related communications including contributing to content for the alumni website, social media, e-newsletter, magazine and staff news
• Coordinate communications approvals
• Serve as frontline contact for alumni inquiries and outreach by drafting letters, messages, and replies as required
Affinity Partnerships and Perks Program
Coordinate and contribute to driving revenue by building a thriving Affinity Partnership and Perks Program for graduates.
• Coordinate affinity/perks partner discounts program
• Coordinate partner agreements and expectations
• Identify and develop new partnership opportunities
• Facilitate perks partner program applications
Georgian Alumni Network (GAN) Platform Operations
• Populate the GAN with updated content
• Develop and coordinate strategies to increase use and members
• Ensure quality platform experience for users
• Monitor communication and engagement, and extract data as required
• Manage job board and events module
• Oversee Perks Partnership directory
Administrative Support
• Respond to and track incoming communications (phone, email, mail)
• Maintain supplies of alumni materials, track and organize inventory
• Representation on committees as required
Qualifications:
• Successfully completed a two-year postsecondary diploma in a relevant field of study that may include, but is not limited to business, communications, marketing, fundraising, events, or another related field.
• A minimum of two years of experience working in advancement, alumni relations, membership and/or in a nonprofit capacity
• Completion of a post-graduate one-year program in fundraising, digital or direct marketing, events, project management or other advancement-related education considered an asset
• Advanced database/CRM experience, experience working with Raiser’s Edge/NXT is an asset
• Experience with Outlook, PowerPoint, Word, InDesign, Canva, Constant Contact, and/or Teamwork considered an asset
• High-level communication skills are paramount including writing, editing, and presenting at meetings and events
• Basic graphic design skills are an asset
• Project management experience is an asset including drafting event logistical plans and briefing notes
• Attention to detail, proven teamwork, and strong interpersonal skills are required
• Flexible and able to adapt to rapidly changing priorities and opportunities
• Reliable transportation to attend advancement and alumni events and activities on and off campuses is required
