Job Summary
We are seeking a highly organized, passionate, and adaptable “do-it-all” Coordinator to join our small team. In this multifaceted role, you will be the engine of our charity, juggling fundraising, volunteer management, donor communications, and daily operations. The ideal candidate thrives in a fast-paced environment, possesses strong interpersonal skills, and is dedicated to making a positive impact on our local community.
Key Responsibilities
1. Fundraising & Donor Stewardship (Fund Development)
· Support the annual fundraising strategy, including digital appeals, direct mail, and donation campaigns.
· Manage donor data, process donations, and send timely tax receipts and thank-you notes using [e.g., Software4NonProfits/CanadaHelps].
· Research and assist with grant writing for local corporate and community foundations.
· Identify opportunities for donor stewardship to retain and grow our donor base.
· Support the planning and delivery of events, both for fundraising and awareness building
2. Volunteer Recruitment & Management
· Source, interview, and onboard volunteers to support various activities.
· Match volunteer skills with organizational needs, including event support and one-on-one outreach.
· Maintain accurate volunteer records, track hours, and coordinate training sessions.
· Implement volunteer recognition activities to celebrate contributions.
3. Communications & Outreach
· Draft and distribute e-newsletters and marketing materials, ensuring consistent brand voice.
· Liaise with community partners, businesses, and local media to create partnerships.
· Represent the organization at community events, booths, and conferences.
4. Administrative & Operational Support
· Support day-to-day operations, including managing info emails, answering phone calls, and maintaining files.
· Maintain donor/volunteer databases.
· Assist with grant adjudication and processing
· Assist with tracking project budgets and expenses.
Qualifications & Skills

· Experience: 1–3 years in a non‑profit, fundraising, volunteer management, or community‑based role
· Education: Post‑secondary diploma/certificate in fundraising, non‑profit management, marketing, or equivalent lived or professional experience
· Tech skills: Comfort using MS Office or Google Workspace, social media platforms, and CRM/databases (e.g., CanadaHelps, Salesforce, HubSpot). Experience with Canva is an asset
· Communication: Clear, thoughtful written and verbal communication skills, with the ability to tell meaningful stories
· Organization: Ability to manage multiple priorities, stay organized, and meet deadlines in a dynamic environment
· Interpersonal skills: Kind, collaborative, and comfortable working with a small team and a diverse group of volunteers
· Requirements: A clear Vulnerable Sector Check
· Availability: Flexibility to occasionally work evenings or weekends for events
